Auto Refund and Return Fee settings

Deferred consultations — visits the provider doesn’t approve, sometimes called “declined” — auto-refund the order total minus a configurable return fee (default $30). You can override per product, and fees sum across multiple Qualiphy line items in the same order.

What gets written to the order

When a deferral happens, the refund breakdown (order total, retained fee, refund amount) is written to the order notes automatically. If the order total doesn’t exceed the retained fees, the auto-refund is skipped and the order note says so — refund manually if you intend to.

The patient-facing disclosure

By default the storefront shows patients a disclosure — “If your consultation is not approved, you will receive a refund minus the telehealth visit fee.” — editable in settings. Keeping a disclosure visible helps avoid disputes. You aren’t billed for deferred visits.
